Job Description :

United Personnel is seeking a full-time HR Assistant for a client in Springfield, MA. This is a Monday through Friday, direct hire position for a candidate with 2 years' experience in HR administration and recruitment. 


 


In this role, you will…


·         Provide Administrative/Clerical support to include:


·         Conduct department filing, copying and assembling


·         Maintain employee records such as hires, promotions, transfers, performance reviews, terminations, training, and employee statistics for reporting and company records


·         Maintain files that must be separated for compliance, medical, I-9’s, etc.


·         Create employee personnel files (new hires and current employees)


·         Assist in enrolling/terminating employee benefits


·         Prepare materials needed for new hire orientation, termination packets, exit interviews, open enrollment, and presentations and/or training materials 


·         Run reports as needed


·         Provide Administrative Support to the HR Team including, but not limited to:


·         Assist with first day new hire orientation


·         Assist with data collection for monthly reports and KPM’s


·         Provide content for company communications   


·         Respond to inquiries including: policies, benefits, procedures and HRIS related items


·         Help to maintain full compliance with all legal requirements and reporting regulations affecting HR functions. Assist in ensuring policies, procedures and reporting are in compliance (employee files, census data, etc.)


·         Administrator of Employee Engagement Platform




 TRACK/Quarterly Meeting: 


·         Gathering points and gift choices and ordering gift cards for recipients


·         Making certificates and distributing to supervisors


·         Coordinate luncheon


·         Set up/ breakdown/ cleanup of kitchen and conference room and coordination of these sessions with staff as needed  




 Events:


·         Build and maintain an annual calendar of events


·         Coordinate activities with community service partners and build relationships and maintain associated contacts


·         Coordinate event schedules, plan and execute events


·         Document results and assist with publicity


·         Develop and coordinate company-wide wellness initiatives including: educational luncheons, flu shot clinics, annual wellness fair, smoking cessation programs, and other wellness/engagement events.




 Training:


·         Coordinate first day new hire orientation


·         Coordinate full day new hire orientation training as applicable


·         Coordinate and schedule HR related trainings




 Recruitment:


·         When needed, assist Recruiter in administrative recruitment activities




 Other Duties:


·         Prepare monthly Mission Moments announcements


·         Order gifts associated with employee milestones, celebrations and/or bereavement


·         Coordinate company-wide events


·         Other duties and projects as assigned


 


Required Qualifications :
 

We are looking for candidates with…



  • Bachelor’s Degree preferred in HR, Business Administration or 2 years Human Resource Administrative experience

  • Two years of experience with HRIS system (ADP Preferred)

  • Basic Recruitment knowledge preferred

  • Problem solving capabilities

  • Ability to prioritize and multi-task

  • Take initiative and constantly focus on improving systems and processes to become more efficient in the HR arena

  • Ability to navigate difficult personalities and situations

  • Ability to be flexible and work in a continually changing and fast-paced environment

  • Ability to be objective and balance the best interests of the company and the individual

  • An interest in developing people to reach their highest potential

  • Strong communication skills (both verbal and written)

  • Flexibility and ability to think outside the box

  • Competent in MS Office Suite including: Word, Excel, Outlook and PowerPoint

  • Ability to handle sensitive and confidential company materials
